How to choose the right meeting room?

Choosing the right meeting room goes beyond simply booking a space. The environment you select plays a key role in setting the tone (and even influencing the outcome) of your meeting. Hosting a difficult conversation? A calm, quiet room can help create the right atmosphere. Planning a complex discussion about next year’s budget? Then you’ll want a space with high-quality audiovisual support to strengthen your message. Organizing a creative brainstorming session for a new marketing campaign? Choose an inspiring room that sparks ideas and encourages innovation. When booking a meeting room, keep these questions in mind to ensure the space supports your goals.

Are you looking for a calm and focused setting, or do you prefer a modern, dynamic vibe? And what colors support that mood? Many of our rooms allow you to adjust the lighting to match the tone of your meeting. For example, orange lighting works well for team-building activities, while blue is ideal for training sessions. And red? You guessed it—perfect for an exciting kick-off or a high-stakes pitch.

Will you be presenting or sharing content and need audiovisual support? Make sure to map out your technical requirements in advance and check whether the venue can accommodate them. At Jaarbeurs MeetUp, we make things easy with our Plug & Play system. Simply connect your laptop or device, and with the push of a button, the room’s technology is ready to go—fully tailored to your meeting’s needs.

If you're meeting with a small group, there’s no need for a large space—which can feel cold and impersonal. At the same time, you don’t want a room that’s too tight, where people feel cramped. Carefully consider the number of participants. At Jaarbeurs MeetUp, we offer 30 meeting rooms in various sizes, accommodating anywhere from 2 to 240 attendees.
