How to organise a successful meeting

Meetings. Not everyone is equally thrilled about them. Often they mean long sessions in a stuffy room at the office. But meetings can also be highly inspiring. How? By hosting your meeting at a different venue. Here are four tips for planning a productive and engaging meeting:

The location of the meeting has a lot of influence on the atmosphere and productivity. Depending on the purpose of the meeting, you select an event venue. For example, if you want to discuss the annual figures, you will want a room or venue that does not distract too much from the message. Is it a brainstorming session for a new marketing campaign? Then you want to inspire people. Also check whether you can adjust the lighting, e.g. to match your house style. And not unimportantly: pay attention to whether you have daylight. That gives energy so people are less likely to nod off.

A simple cheese sandwich can be delicious, yet your attendees will probably expect a bit more. And fair is fair, the right food keeps people on their toes. Long meeting? Then make sure you serve other snacks too. Or a drink at the end. That way participants have something to look forward to.

How often it happens that someone turns their laptop over to show a presentation that everyone has to look at ... Not very professional. It is so convenient if you have access to a large screen, good lighting and possibly some microphones. At Jaarbeurs 's meeting rooms (MeetUp), we work with plug & play. Just plug in your laptop (yes, really!) and you're ready for your meeting.

If you ask us, sustainability should be high on the agenda. Are you organising a meeting? Then don't forget the sustainability aspect. Choose digital documents instead of paper versions, for instance. And recycling cups instead of one you have to throw away. Match the catering to the number of people, that way you can be sure you do not have too much left over. At Jaarbeurs we do that for you. We also help you estimate the right amount of breakfast, lunch or drinks.
