6 tips for organising a sporting event

“Where should I start when organizing a sports event?” It's a question we often hear. With over 100 years of experience in organizing and hosting events, we have some insights to share. Beyond good accessibility (like proximity to the station), a suitable venue, and a recognizable theme, here are additional considerations:

Don't assume participants will arrive in their sports attire. They might be coming from afar or it's cold outside. Plus, after exercising, they'll want to change out of damp clothes. Sufficient changing facilities or refresh areas are essential.

Those who engage in sports get thirsty. It's important to provide enough water or at least ensure participants can refill their bottles.

It's still the Netherlands: sudden heavy rain is possible. Ensure you have backup solutions like tents or the option to move indoors.

Healthy nutrition is a given. For a sports event, serving greasy food isn't appropriate. Consider offering healthy, carbohydrate-rich snacks like bananas, sweet potatoes, or quinoa bites.

Review participant flow in advance. Ensure there are sufficient first aid stations. And know what to do if someone feels unwell—who do you contact?

Set sustainable goals. Consider reusable materials or encourage participants to walk, bike, or use public transport. Serve only water or smoothies, not sugary sodas. Also, aim for inclusivity.
