4 tips for organising an event

With over 100 years of experience in organising and hosting events, we know that every event is unique. There’s no one-size-fits-all manual for planning the perfect gathering. Still, we asked our experts for their best advice. Here are their four top tips for organising an event.

Sometimes you have discussed or thought out so much during a meeting that later you can't remember who is responsible for what. So make a checklist and assign responsibilities, including deadlines. For example, you should fix the venue before you fix the catering. Also important: sometimes tasks get mixed up, so pay attention to when what is needed.

This one kind of coincides with the checklist, but is still not quite the same. This is because a roadmap allows you to keep an overview. This allows you to organise the event in the right order. First the main points, then the details.

If you know what the event may cost, you can flesh out the programme. You can then make better choices for the location, catering and entertainment, among other things. During the process, choices can change and things can become more expensive; by keeping a close eye on the budget, you keep control.

Fortunately, more and more people are thinking about the environment. Perhaps you already choose a sustainable strategy for your business operations. Know that you can also organise events sustainably. For example by offering vegetarian options (is standard in our product range), separating waste (we do it for you at Jaarbeurs ) or choosing reusable materials.
