Why some spaces help you focus and others drain your energy

Sometimes you feel it as soon as you enter. It's right here. The space is pleasant. You sink just a little deeper into your chair. The light is calm. The atmosphere feels professional but relaxed. You are right there.

And sometimes... you feel the opposite. Too bright light, a busy interior or a messy atmosphere make you just a little less open to what is coming.

This is no accident. Our environment has a lot of influence on how we behave, how well we can focus and what we remember. In this article, you will learn how colour, light and tranquillity influence the experience of your meeting. We show what colour psychology can do for the atmosphere, why lighting affects concentration, and how a pause is sometimes more valuable than a fourth speaker. You will get inspiration as well as practical insights to make your space work as well as your content.

Why the brain loves peace and quiet

Your brain is always looking for safety, overview and stimuli to process. In a space that is chaotic, restless or too busy, part of your attention imperceptibly goes into 'survival'. That means less space for creativity, listening or learning.

What does help?

  • A clear, tidy space
  • No visual noise (think busy prints, distracting details, clutter)
  • Silence: good acoustics and low reverberation
  • Comfortable temperature and fresh air

Rest does not mean boring. It means: space in your head because the space around you is right.

What colour does with behaviour

Colour affects our mood, even if we don't consciously notice it. These are commonly used colours and their psychological effect:

  • Blue radiates confidence and calmness. Good for focus and concentration.
  • Green has a calming and refreshing effect. Helps recover from mental fatigue.
  • Yellow stimulates optimism, alertness and energy. Too much yellow can make you restless.
  • Red activates and increases alertness. Can help with short-term energy peaks, but works less well with longer concentration.
  • Neutral tones create a sense of balance and space.

At Jaarbeurs, our conference and meeting rooms are equipped with adjustable lighting. So you can adjust the colours yourself to the moment of your meeting: activating in the morning, relaxing after lunch, energetic for closing or drinks. A simple way of letting your environment interact with your programme.

The role of light and lighting

Light determines how alert and focused your participants feel. Natural daylight is the most pleasant, but artificial light can also do a lot if properly adjusted.

When choosing a space, pay attention to:

  • Is daylight available, or can you properly control how light and atmosphere are set?
  • Can you adapt the intensity and colour temperature of light to the time of day?
  • Is there no annoying glare on screens or annoying light?

No daylight does not have to be a disadvantage. For some meetings, such as deep-dive sessions, exhibitions, screen presentations or creative brainstorms, a sealable room with easily adjustable artificial light actually works better. It helps to fully focus and minimise outside distractions.

A space that is too brightly lit can be tiring. Too little light makes people sleepy. Smart use of lighting gives your programme a rhythm, and your participants energy.

Tip: Use warm, diffused light in reflection moments and brighter white light in active, task-oriented parts of your programme.

Pause is not a break, but part of it

In conclusion: tranquillity is not only in furnishings or colour, but also in how you organise the programme. The brain needs time to process, let go and refocus. So consciously build in moments of relaxation.

Both at our MeetUp meeting centre and in our conference rooms, central breakout areas have been set up to encourage meeting and recovery. Think about:

  • Warm, welcoming catering areas where people feel at ease
  • Water points in the venue to stay tantalisingly fresh
  • Separate spaces to catch your breath or talk one-to-one

It is elements like these that make participants say afterwards, "That was a nice day."

Your environment determines your energy

You can prepare the content of your meeting so well. If the space is not right, it rarely feels like a success. But if atmosphere, light, sound and colour do feel right, something extra is created. Then people stay engaged, conversations get going and energy levels are maintained.

That is why at Jaarbeurs we look not only at the square metres, but also at the psychology of the space. We help you choose an environment that suits your goal, your target group and your programme. And always with personal guidance, professional technology and a hospitable reception. So that you can fully focus on the content.
