Loading and unloading

Setting up and dismantling an exhibition requires well-organised logistics. To make this process run smoothly and safely, the following guidelines apply:

Opening hours loading and unloading zone:

  • Loading and unloading is allowed between 07:00 and 23:00.
  • Between 23:00 and 07:00 the site is closed.

Entering the loading and unloading area:

  • Height measurement at the barrier determines the expected loading time.
  • Time slots per vehicle:
    • Vehicles under 2.70 metres: maximum 60 minutes.
    • Vehicles over 2.70 metres: maximum 120 minutes.
  • Charges from €120,- When loading times are exceeded.

Important: Stick to the loading times to avoid extra costs and delays. Always follow the instructions of the traffic officers for a smooth flow.

Book a time slot

At Jaarbeurs we have a Vehicle Registration System (VRS).  With the VRS system You can easily book a time slot For loading and unloading on build-up or breakdown day.

  • Efficient flow - Vehicles are scanned and let through immediately.
  • Loading and unloading zone capacity regulation - Prevents overloading the premises.
  • Avoid waiting times - Regulated time slots ensure smooth loading and unloading.

Print the confirmation and bring it with you so you can check in at the Jaarbeurs barrier. Add your license plate number, driver's name and a phone number to the system no later than 24 hours before your reserved time slot, to ensure a smooth flow upon arrival. Your time slot will be scanned there , after which you will be given access to the loading and unloading area for smooth and efficient logistics.

Build-up and build-down scenarios

For exhibitions with a VRS scenario, the publication date is always published up to 4 weeks before the build-up starts. The fair is then put online within Voyage Control, where a time slot can be reserved via the 'book your time slot' link above. In addition, take a look at the documents for full details on the approach routes and VRS build-up and build-down scenarios.
