You've probably heard it mentioned before: a symposium. But, what exactly is it? And when do you call something a symposium or a congress? And what are the advantages? We will explain that to you.

Symposium meaning

A symposium is an event where the sharing of knowledge is the most important part. It is a scientific meeting where researchers, experts and professionals come together to share or present their work. Think speakers with expertise and a programme that goes into depth.

The word 'symposium' originally comes from Greek. Fun fact: literally, it means 'drinking together' or 'drinking party'. It used to be a gathering where people came together to eat, drink and talk about all kinds of topics. Nowadays, we use the term more for formal events where experts share insights. And of course: where participants are inspired to new insights. But...a drink afterwards is of course always a good idea. Perfect for bonding your participants and ideal as a networking opportunity.

The 4 advantages of a symposium

A symposium (symposia in the plural) has several advantages. As far as we are concerned, these are the four biggest:

  1. Sharing knowledge
    A symposium is more than just a presentation. It a perfect way to present and share up-to-date knowledge with a target group. This way, interested parties or peers stay up to date on the latest developments, for example. Or they can brush up on their knowledge.
  2. Networking
    You don't meet peers working in the same industry on a daily basis. This is not surprising, as people do not know each other or find 'cold contact' uncomfortable. A symposium brings together people with common interests or areas of expertise. So it is the ideal place to connect and talk to each other. A great breeding ground for networking, exchanging ideas or starting collaborations.
  3. Inspire
    Several speakers often appear at a symposium. These people have their own visions and expertise. This can lead to new ideas or increase the motivation to start your own research or projects. After all, nothing works as well as success stories from other people.
  4. Strengthen image
    By linking your brand or organisation to a symposium, you make yourself visible. And what's more: you show that you value knowledge sharing. It can earn you recognition or lead to a better position in the market in which you operate.

How to organise a symposium: 5 important tips

Are you toying with the idea of organising your own event? That requires some thought. These are the most important tips from our event managers if you are going to organise a symposium.

  1. Choose a theme
    Every major symposium has an important theme. This is the main topic of the day. It creates focus for both your speakers and participants and helps develop programming.
  1. Book a venue
    Depending on where your target group is located and what your starting points are, choose an event venue. Does your target group come from all over the Netherlands? Then choose a venue that is centrally located and easy to reach. Jaarbeurs for example, is right next to Utrecht Central Station.
  1. Come up with the outline of the day
    Is it your first time organising a symposium? Then it can be difficult to immediately shake a good programme out of your sleeve. It is therefore easier to start with the structure of the day first. Ask yourself: what do you start with? Are there several sessions at once? Is there room for discussion or networking? And how do you end the day?
  1. Work on strong programming
    Do you have the outline on paper? Then you can think about your programming. How many speakers do you want and what will they talk about? Choose people who are really experts in this field. Or not; because controversy can also be very interesting. Example: if you are organising a symposium for doctors specialising in a rare disease, invite a patient as a speaker.
  1. Promote the symposium
    Have you got everything figured out? Then it's time to put marketing to work. Promote your symposium to attract participants. Use emails, social media, trade magazines or partners to market the event. Tell what your target audience will gain from the day and why everyone should attend.

What is the difference between a symposium and a congress?

We are regularly asked what the difference is between a symposium and a congress. Not surprisingly, because the terms are still used interchangeably (sometimes even by ourselves). The differences are subtle.

A conference is usually somewhat larger in scope. With several parallel sessions, for example. Or a wider audience. Sometimes a congress lasts several days and also highlights different topics.

A symposium has less of that. It is on a smaller scale and usually revolves around a single topic. Here, you really go into depth. Sharing knowledge or exchanging thoughts on the same subject is central here.
