When you start organising an event, the first thing you probably think about is the programme. Which speakers will you invite, what will happen? And will you choose entertainment or not? But more importantly: where are you going to organise this programme? These tips will help you select the best event venue for your meeting.
One hall is not like another. So don't rely solely on your feelings or what you like. The right event hall depends on your branding, the event you are organising and the message you want to convey. So start with a few important questions: how many guests, visitors or participants do you think you will have? What atmosphere do you want to project? Are you looking for a private entrance with lots of privacy (like our Juliana rooms) or are you going for a futuristic look that inspires people (like Supernova and Media Plaza)?
In addition, have you thought about the location and where your participants will come from? Or even better: by which vehicle? Jaarbeurs is located next to Utrecht Central Station, so perfect for anyone coming by public transport. And the car is no problem either, because we have more than three thousand parking spaces.
The size of an event hall depends on several factors. For a start: how many people are you expecting? Is it an event with seating (plenary sessions or conferences) or will there be mainly standing, as with networking drinks or receptions? In addition, the set-up is important. For example, a theatre setup requires less space than a layout with round tables. And the choice of a stage or no stage also affects the size of the event room. Yes ... you can of course hire a large event room for a small group. But that quickly feels empty and chilly. And a crowded room where you are on top of each other is not pleasant either.
