Jaarbeurs B.V. ("Jaarbeurs") is an international exhibition and conference organisation. We organise and provide space for large-scale public and trade fairs, events, business meetings and conferences. In addition, Jaarbeurs offers various online media and communication services. When performing our services, we process personal data. In this privacy statement you can read which personal data Jaarbeurs collects and uses from you and how we deal with it. We advise you to read this statement carefully.

Handling of your personal data
Jaarbeurs values your privacy and will handle your personal data as carefully and securely as possible. In doing so, Jaarbeurs will comply with the privacy regulations. Jaarbeurs records personal data in connection with the provision of its services.

Applicability
This privacy statement is intended to inform users of the Jaarbeurs App ("the App") about the handling of their personal data. This privacy statement applies to all processing of personal data via the App and by or on behalf of Jaarbeurs and its European affiliates.

Layout privacy statement
In this privacy statement, we indicate what personal data we may process from you when you use the App. What personal data that is depends on which services you use in the App. For example, we will process other personal data when you use the App as a guest, as a registered user or when you use map navigation.

In order to inform you as well as possible, we have made a distinction between the various processing of personal data for the specific services of the App. Further on in this statement you can read which personal data Jaarbeurs processes for (one of) the following functionalities of the App and why:

  • Access the app
  • Register as a user
  • Navigation
  • E-ticket
  • App enhancement

Basis for processing
Jaarbeurs uses the personal data mentioned in this statement, among other things, if this is necessary for the execution and handling of an agreement, if Jaarbeurs has legitimate business interests to do so or if you have given your consent to do so. Also, Jaarbeurs may have a legal obligation to process your personal data.

If Jaarbeurs processes personal data based on your consent, Jaarbeurs will ask you separately. You may withdraw consent at any time, but the data processed up to the time of withdrawal will continue to be processed lawfully.

Personal data may have been provided directly by you or, in the case of user data, processed automatically during your use of the App via cookies or similar technologies. Where personal data is not provided, we may not be able to make our services available. In the event that the App specifically states that the personal data is not required, you are free not to provide such personal data, without affecting the availability and functioning of the services in the App.

Third parties

  • Jaarbeurs uses functional cookies, which are necessary for the operation of the App and analytical cookies to gain insight into the operation and effectiveness of the App. If you grant permission, third parties place cookies on your device on behalf of Jaarbeurs that enable us to provide you with location services.
  • In addition, third parties (such as Microsoft Clarity and Google Analytics) set cookies to analyse how you use the App. If you consent to the placement of advertising cookies, this usage data may also be shared with Microsoft Clarity. Microsoft Clarity processes this data in accordance with its privacy statement (available at privacy.microsoft.com/en-us/privacystatement).
  • You can withdraw your consent to the placement of advertising cookies at any time, see below on how to do so.
  • In addition, Jaarbeurs uses various advisers who could have access to your personal data, such as organisational advisers or lawyers.
  • In addition, we may have to provide your personal data to third parties if we are required to do so by law. For example, the police or the municipality may request data from us in the context of fraud, security or investigation.
  • You are solely responsible for personal data you have collected, published or shared from another person via this App and can confirm that you are providing this data to Jaarbeurs with that person's consent.

Transfer outside the EU
In principle, your personal data will be processed and stored within the EU. It is possible that certain personal data may be processed and/or stored by third parties outside the EU based on the use of their services, such as social media platforms. The processing of your personal data by these services will only take place with your explicit consent. For more information on these services and data transfers, please consult the privacy policies of these third parties.

Retention periods
Jaarbeurs will not retain your personal data for longer than is necessary for the purposes of processing stated in this statement. This means that your personal data will be kept as long as they are necessary to achieve the purposes in question. If specific retention periods are specified, this is stated in the detailed information about the relevant App service.

We do need to keep certain personal data for longer because Jaarbeurs has to comply with legal retention obligations, such as the tax retention obligation.

Device permissions to access personal data
Depending on your specific device, the App may request your consent to access (personal) data from your device as described below.

By default, this consent must be granted by you before access to the relevant (personal) data can be obtained. Once consent is granted, it can be withdrawn by you at any time. To revoke this consent, you can consult the settings of your device or contact Jaarbeurs.

The exact procedure for controlling App permissions may depend on your device and software. Please note that revoking such consents may affect the proper functioning of the App. If you grant any of the consents listed below, the relevant personal data may be processed (i.e. accessed, modified or deleted) by the App.

Authorisation for estimated location (ongoing)
Used to access the estimated location of your device. The App collects, uses and shares your location data to provide location-based services.

Bluetooth sharing permission
Used to access Bluetooth-related functions such as scanning to devices, connecting to devices, and allowing data transfer between devices.

Marketing

Used for setting cookies to process your personal data for marketing purposes by Microsoft Clarity.

Age limit
The App is not intended for use by children under 16 years of age, unless specifically stated by the organiser of the fair or event. If you are under 16, you can use the App after your parents or guardians have acknowledged and agreed to the terms and conditions in the App.

Security
Jaarbeurs has obviously taken security measures to protect your personal data from loss or unauthorised access.

Your rights, questions and requests
Your rights: under privacy regulations, you have a number of rights which are set out below.

  • Inspection: you have the right to ask whether Jaarbeurs processes personal data about you and, if so, the right to inspect your personal data;
  • Rectification: you have the right to ask Jaarbeurs to correct or supplement your personal data if it is incorrect or incomplete;
  • Deletion: you can request to have your personal data deleted ('right to oblivion');
  • Restrict: you can request that your personal data be processed by
  • Jaarbeurs to have it restricted, for example if you believe Jaarbeurs is processing your personal data unlawfully or the data processed may be inaccurate;
  • Objection: you can object to the processing of your personal data due to special personal circumstances. You can also object to the processing of your personal data for direct marketing purposes;
  • Data portability: you can request the transfer of your digital personal data if the personal data was provided on the basis of your consent or an agreement with Jaarbeurs.

We may ask you for additional information to verify your identity. We will in principle inform you no later than one month after receiving your request whether we can comply with your request. This period may be extended by two months in specific cases, e.g. when the request is complex. We will inform you about such an extension at the latest within one month of receiving your request. Under privacy legislation, we may refuse your request under certain circumstances. If this is the case, we will explain why. If you object to the processing of your personal data for direct marketing purposes, we will always respect this request.

Complaint about the processing of your personal data
If you have a complaint about the processing of your personal data by Jaarbeurs, we would like to try to resolve this with you. If this does not lead to the desired result, you have the right to file a complaint with the privacy regulator, the Personal Data Authority. You can contact the Personal Data Authority for this purpose.

Changes to privacy statement
Jaarbeurs may amend its privacy statement. New versions are always published on our websites.

Jaarbeurs App
As a visitor to exhibitions and events at Jaarbeurs, we offer additional services through the App. As a user of the App, you provide personal data to Jaarbeurs yourself or Jaarbeurs processes your personal data, for example when you navigate the hall or add your e-ticket. When you install the App, you also get access to specific information about the exhibition or event and its location for your visit to Jaarbeurs. You have the choice of using the App as a guest or as a registered user. Certain services require you to register yourself as a user.

Personal data and purposes of processing

Access to the App
Jaarbeurs processes the following personal data, itself or through a third party, for the performance of the agreement to give you access to the App:

  • phone settings
  • opt-in (consent) information
  • notification settings

Jaarbeurs also processes the following personal data, itself or through a third party, for our legitimate interest to improve our services:

  • user data (such as timestamps, language, App updates, etc.);
  • analytical data via functional cookies that provide insight into the operation and effectiveness of the App, such as data on how you use, click and scroll through the App
  • statistical data (such as device information, network type, starts, operating systems, etc.);

Register as a user
You can register as a user by completing the App registration form with your personal data. Jaarbeurs processes this personal data, itself or through a third party, for the execution of the agreement of your registration and authentication:

  • e-mail address
  • password

Your user account, including personal data, will remain available to you after the exhibition or event, unless you delete it in your account settings in the App.

Navigation
To allow you to navigate within the hall(s) of the exhibition or event (including receiving notifications and information about crowds), Jaarbeurs, itself or through a third party, processes the following personal data based on your explicit consent:

  • Device sensor and radio data: radio information such as BLE and WIFI signals, GPS signals, as well as IMU sensor data, are processed to determine whether you are inside and to calculate your exact location.
  • Location information: location information such as coordinates (latitude and longitude), floor number, course, and associated timestamps, from the device are processed to calculate crowd density levels and provide you with indoor navigation.

The collection of the above (personal) data is done both when the App is in the foreground and when it is in the background and in a pseudonymous form. This makes it possible to distinguish between different people and locations. The pseudonymous data is deleted after 4 days (96 hours). After that, all data is erased or anonymised so that it is no longer personally identifiable.

Jaarbeurs also processes the following (personal) data, itself or through third parties, based on our legitimate interest to maintain and develop this service:

  • Random user ID: we generate a random user ID when you first install the App. This identifier is used to link data from the same device together (i.e. to create pseudonymous data), which is necessary to technically provide this service, and to comply with inquiries and regulatory agency requirements.
  • Other information from your device: information such as operating system version, network connection status and language preference are collected to monitor use of the service.
  • Log data: your use of the Services may generate server logs, crash reports and audit logs. These are collected to ensure the technical functionality and security of the Services, to monitor and analyse the Services, and to prevent and investigate fraud and other abuses.

For pressure measurement, we use only anonymous data. To improve our services, we also use only anonymous location data to analyse visitor behaviour, such as the number of visitors who passed a stand, the busiest paths and moments.

All data will be stored for a period of up to 4 days (96 hours) after it is collected or may be deleted earlier at your request. All data processed based on your explicit consent, including non-aggregated location data, will be deleted. Data processed based on our legitimate interest, such as log data and information about the model of your device, will either be anonymised or deleted. Non-personal, anonymous data, such as aggregated crowd density data and anonymised log data, are retained indefinitely.

E-ticket
You have the option of loading your e-ticket into the App. When you use this service, Jaarbeurs, itself or through a third party, processes the following personal data based on our legitimate interest:

- e-mail address (which was used to purchase your e-ticket)
- order number
- QR code

This personal data will remain available to you after the exhibition or event, unless you delete it via ticket page of the App.
